Master Details

The Master invoice is a summary document that combines several related invoices for the same client.

  • Invoices grouped under a master invoice are referred to as Child Invoices.

  • The primary method for creating a master invoice is the Merge Invoices action. This process links selected invoices into a single master record.

Incoming payments are typically recorded on the master invoice. The system then distributes these funds automatically among the child invoices (using a dedicated reconciliation mechanism).

The master invoice does not contain its own list of services. Instead, the Services tab displays the linked child invoices and the allocation of funds between them.

Key Features

  1. The Services tab for master invoices includes:

    • Total Available Funds: Read-only field showing the total amount received on the master invoice and available for allocation.

    • Allocated Funds Balance: Balance of allocated funds.

      • Positive value — Not all funds have been allocated;

      • Negative value — Allocated amount exceeds the available payments.

    • Child Invoices List: A list of linked invoices with standard fields and two additional editable fields.

      • Allocated — Amount assigned to the invoice;

      • Debt Coverage — Portion of the invoice debt covered by allocated funds, displayed as a slider.

  2. The following actions are available:

    • Add Invoice — Adds a child invoice. The invoice must be marked as Is Partial in the Miscellaneous tab.

    • Redistribute Funds — Automatically reallocates funds from the master invoice to child invoices:

      • Invoices with earlier Invoice Date are settled first;

      • Within the same date, invoices are processed by total amount in ascending order.

Child Invoice Context Actions

Additional actions are available for child invoices through the context menu:

  • Allocate Available Funding — Allocates available funds to the selected child invoice.

    • The system transfers the amount required to cover its debt, limited by the available balance (positive value in the Allocated Funds Balance field).

  • Detach Child Invoice — Removes the invoice from the master invoice.

    • This action is available after the master invoice is saved. It does not return payments from the master invoice to the child invoice and does not remove related documents.

    • After detachment, the invoice becomes available for linking to another master invoice.
