Object Card

When creating or editing an Invoice, its card opens in a separate window. This same card is also used to view a selected invoice from the list in the main TOR interface.

Invoices created in the Accounting Module use a standardized card layout. Invoices from other modules, such as Freight Invoices (from the Cargo Module) or Disbursement Accounts (from the Port Agent Module), use their respective cards.

The Services tab may vary depending on the invoice type.

Header Section and Key Invoice Fields

Basic Information

  • Invoice Number: Editable for incoming invoices. For outgoing invoices, generated automatically and cannot be changed directly. To modify, use the special field in the Miscellaneous tab.

  • Payment Status: Status, calculated based on Debt field, which in turn depends on linked payments from the Payments tab.

    • N/A — No payment status applicable.

    • Overpaid — Linked payments exceed the invoiced amount.

    • Paid — The invoiced amount is fully covered by linked payments.

    • Partly Paid — Linked payments cover part of the invoiced amount.

    • Unpaid — No linked payments recorded (Debt equals Total field).

  • Direction: Indicates who issued the invoice.

    • Incoming — Issued by a counterparty to own company (as defined in the admin panel).

    • Outgoing — Issued by own company (from the admin panel) to a counterparty.

  • Status: Shows the current processing stage of the invoice (displayed as a caption in the invoice header).

    • Draft — Invoice is not finalized and has not been sent to the counterparty; contents may still change (outgoing invoices only).

    • Waiting for Approval — Submitted for internal approval, if the invoice approval process is enabled in the admin panel (outgoing invoices only).

    • Approved — Approved and ready to be sent to the counterparty, if the invoice approval process is enabled in the admin panel (outgoing invoices only).

    • Released — Issued and sent to the counterparty.

    • Parsed — Imported from an external source; excluded from statistics.

  • Invoice Date: Date the invoice was issued.

  • Due Date: Payment deadline.

Parties Involved

  • Bank Account: Account to receive payment (used only for outgoing invoices). This information appears at the bottom of the printed invoice.

  • Issued By: The entity issuing the invoice.

    • For outgoing invoices, must be selected from the ‘Own Companies’ list (configured in the admin panel).

    • For incoming invoices, a company or a person can be selected.

  • Payer: The entity the invoice is issued to.

  • Client: The end recipient of the services.

Shipping Details

These fields are optional. They are not available for administrative invoices.

  • Port: Port(s) related to the invoice.

  • Vessel: Ship associated with the invoice.

  • Voyage: Voyage linked to the invoice.

Financial Details

  • Currency: The invoice currency.

  • Service RoE: Exchange rate from service currency to invoice currency (if unified service currency mode is enabled). Editable if the checkbox is active.

  • Basis RoE: Exchange rate from invoice currency to basis currency. Editable if the checkbox is active.

  • Total Services: Total value of services (read-only).

  • Total Reconciled: Total amount reconciled (read-only).

  • Total for Payment: Amount due (read-only).

  • Debt: Outstanding amount (read-only).

  • Service Currency: Shown only if unified service currency mode is enabled.

Available Actions (top-right corner)
  • Show Associated Deal — View the deal linked to this invoice (only if Deals Module is enabled; link is managed from the deal side);

  • Contact Settings — View or edit invoice settings related to the contact (e.g., services currency, contract number);

  • Pay Invoice — Create a payment to settle the invoice (for incoming invoices only).
