Voyage Module

1. Daily Reports Submission via Web Portal

A new option has been added for captains (vessel masters) to submit daily reports directly through the web portal. For each vessel in the Ships Module, it is now possible to enable web-based reporting and assign a password.

Once enabled, the captain can access the portal via a browser, select the vessel, and log in with the assigned password. The following report types are supported:

  • Noon Report — Daily position report with vessel coordinates while underway at sea.

  • Arrival Report — Report submitted when the vessel is arriving at a port.

  • Departure Report — Report submitted when the vessel is departing from a port.

  • At Port Report — Report on vessel activities while berthed in port.

  • Shifting Report — Report on vessel movements between berths within the same port.

  • Bunkering Report — Report on vessel refueling operations.

  • Hold’s Chambers Report — Temperature report covering cargo hold compartments.

  • Container Temperature Report — Temperature report for refrigerated containers, ensuring proper monitoring of sensitive cargo.

Captain’s web portal

Each report can be filled in online and submitted together with file attachments, as well as distributed by email to designated recipients. If an internet connection is temporarily unavailable, the report will be sent automatically once the connection is restored.

All submitted reports are automatically registered in Daily Reports and distributed to the specified email addresses. The corresponding email messages with the specified recipients also appear in the Documents Module, in the folder defined by the system configuration in the administrative utility.

  • Hold’s Chambers reports are also available in the Voyage card → Temperature tab.

  • Container Temperature reports are also available in the Container card → Temperature tab.

2. Transition Report

A new Transition Report has been added. It provides an overview of voyages, port calls, and transitions within a selected time period, helping to analyze vessel operations more efficiently.

Accounting Module

1. Reconciliation Payments

A new type of non-banking payment allows transferring balances (debts or credits) between different accruals, such as invoices. Each reconciliation links two accruals: one acting as the source of funds, the other as the recipient. Payments in different currencies are supported.

This feature enables scenarios such as:

  • Prepayments closing final invoices;

  • Transferring overpayments or debts between invoices;

  • Settling old debts by agreement;

  • Cross-offsetting invoices between a company and its counterparty;

  • Chaining reconciliations across multiple invoices.

2. Obligations

Obligations represent a financial relationship or debt between two parties, which can take the form of contracts, loans, deposits, or informal agreements, with or without supporting documents, and are intended to cover any debt-inducing arrangements that are less formalized than Invoices. Each obligation involves a creditor, who makes the claim, and a debtor, who owes the amount.

3. Unified Accrual Scheme

Accrual is a general term for any document or transaction that creates a financial claim from one party (creditor) to another (debtor).

Common accrual types and their implications are:

An informal promise to pay an individual or counterparty

Obligation

Any other kind of payment commitment between two parties, with or without supporting documents

4. Master Invoices

Master Invoice consolidates multiple underlying (and thematically related) invoices into a single document, and is meant to consolidate payments for all of them.

5. Client Balance Report & Reconciliation Report

The Client Balance Report provides a detailed overview of financial activity and outstanding balances, organized by company, client, and transaction currency. It consolidates data from invoices and payments, allowing users to analyze financial positions at multiple levels.

The report supports flexible filtering, including date ranges, paid or unpaid invoices, and payments linked to invoices within the selected period.

Data is displayed across three main views — Company, Client, and Client Operations — each presented as a multi-level, expandable table. The Client view also enables exporting the data as a , while expandable sub-levels allow deeper examination of balances and transactions.

The Reconciliation Report provides a date-ordered manifest of financial operations and transactions between the company and one or multiple selected clients within the given time period, and conveniently displays the debt dynamics between the two counterparties.

6. Client Debt Report

The Client Debt Report tracks counterparty debt over a selected period. Presented as an Excel table, it shows weekly debt dynamics per client, including total amounts and week-by-week changes. A chart on the second sheet displays total debt across all clients for the period.

Cargo Module

1. Web Portal for Shippers and Clients

A new web portal has been introduced to simplify Bill of Lading (B/L) management for both shipping agents and clients.

  • For agents: The portal enables the creation of Bills of Lading directly through a web browser. Once submitted, they are automatically registered in the Cargo Module under the Bills of Lading module folder.

  • For clients: The portal provides online access to their cargo documentation, allowing them to view and download Bills of Lading associated with their shipments.

    • Access permissions to the portal are configured in the Contacts Module under the Cargo tab → Web Portal subtab.

The web portal offers a full workflow for both agents and clients:

  • For agents:

    1. Create shipments specifying the origin and destination ports, as well as the assigned vessel.

    2. Within each shipment, generate palletized or packaged B/Ls based on the CONGENBILL (Edition 1994) form, including cargo and container details.

  • For clients:

    1. View and download their B/Ls in browser.

    2. Track the current location of vessels and containers carrying their cargo on an interactive map.

2. Simplified Bill of Lading Creation

A simplified Bill of Lading creation form has been added for cases where full cargo detailing is not required. This allows quick registration of basic shipment data without completing the standard B/L template.

3. Freight Additional Rates

It is now possible to define custom freight rates for individual ports per client. These freight additional rates allow adding extra cargo lines, usually when different freight rates apply than in the main ‘Cargo Pack Types’ section.

These additional rates are configured in the Contacts Module under the Cargo tab → Client Rates subtab and are reflected in the corresponding freight invoices.

Port Agent Module

1. Tariff Management

A new feature that enables setting up tariffs for specific ports and companies. The configuration window opens via the toolbar using the button.

Each port or company can include a list of expenses (e.g., Tug Service, Reefer Load, Ice Dues — Out), each with an assigned rate (coefficient) and condition.

  • Priority and condition rules can be applied — for instance, a rate may be valid only during a specific season (e.g., May–November).

  • If multiple rates match the same expense, the system automatically selects the one with the highest priority.

2. Integration with Port Call Calculations

Port tariffs defined in the Port Agent Module are automatically incorporated into Port Call cost calculations when the related expenses are marked as Calculated.

The rate linkage is configured through the Expression Editor, where the GETPORTRATE() function retrieves the applicable port tariff according to the defined conditions. The formula can also include additional arithmetic operations, such as applying fixed adjustments or percentage-based modifiers.

Voyage Charter Module

The new Voyage Charter Module introduces functionality for managing and tracking charter agreements. It enables users to record detailed data on each voyage, including vessel port calls, time spent on vessel servicing, loading and discharging operations, and applied freight rates.

Each charter record includes a list of associated Port Calls, where operational details can be entered and analyzed. This structure supports precise tracking of vessel activities and time allocation across multiple ports.

The primary purpose of the module is to build a long-term statistical base, allowing users to analyze service delays, cargo handling durations, and freight rate trends for specific ports. Over time, this data contributes to more accurate operational planning and improved charter performance analytics.

Deals Module

The new Deals Module is designed to manage and analyze various types of commercial and transportation-related agreements, including Arbitrage, Brokerage, Goods S&P, Payment Agency Agreement, Time Charter Trip, and others.

Main functionality:

  • Calculation of deal economics: Tracking all deal-related income and expenses, with the ability to include external invoices from other modules to ensure complete financial visibility.

  • Manager commission calculation: Automatic computation of commissions and rewards for managers involved in each deal.

  • Payment calendar: Planning and monitoring expected inflows and outflows based on active deals.

  • Profit distribution: Allocating deal profits among shareholders according to predefined shares.
